How Documents can be created and assigned to the employees in Akrivia HCM?

How Documents can be created and assigned to the employees in Akrivia HCM?


Document category for a specific group of documents according to the requirement can be created . The Document category may be a Proofs, Education, Experience, Certifications Medical Reports etc. Steps to create a Document category is as follows,
  1. Click on Documents -> Document categories -> +Add New
  2. Fill the details like Document Category, Enter Document Category, and Category Code
  3. Click on Documents -> Document categories -> Actions -> Link Entities

Note: For unlinking the category with an Entity, the documents in the category must be unlinked from the entity and there must not be any data entered in the fields by employees.

After creating the document category, Document type which is a customized form containing multiple fields to capture all the relevant information about specific document. A document can be created specific to certain document category. Steps to create a Document type is as follows,
  1. Click on Documents  ->  Document Type -> +Add Document Type 
  2. Fill the details like Document Category, Type Code, Description, Field Title, Field Type, Mandatory Status etc.,
 Created documents can be linked to entities as follows
  1. Click on Documents  ->  Document Type ->  Actions ->  Linked Entities
  2. Fill the details like Document Type, Organization, Entity, Reporting Chain, Talent History, Talent History Labels, Mandatory Upload.
Note:

1. The linking configurations can be edited, and the document can be unlinked from the entity only when there is no data entered to the document.

2. The document once created can be edited and deactivated only when there is no information captured into it.
